We have an exciting opportunity for an enthusiastic, experienced, and highly organised Studio Administrator.
This is a great opportunity for someone who comes from a strong administrative/financial background, gained in an architectural studio (or similar), who desires a role crucial in supporting the operations and ensuring the smooth running of our award-winning Practice.
The job is intended to be part-time: minimum 3 days/22.5 hours. However, we are flexible depending on the right candidate. Salary will be dependent on experience.
Person profile
– Proven experience as an Administrator or in a similar role.
– Knowledge of finance management software, e.g., SAGE/Xero.
– Highly proficient in Microsoft Office 365.
– Experience of InDesign and social media would be a bonus but not essential.
– Excellent organisational and time management skills.
– Strong attention to detail and accuracy.
– Ability to multitask and prioritise tasks effectively.
– Strong communication and interpersonal skills.
– High level of professionalism and confidentiality.
Role profile
Finance:
– Prepares monthly invoices.
– Completes Invoice Schedule.
– Completes Purchases Schedule.
– Completes Petty Cash Schedule.
– Completes Statement of Account.
– Reviews bank/credit card statements against the monthly budget.
– Prepare quarterly VAT requirements.
– Creditors:
– Support Directors in review and ongoing management of suppliers, lease / contract terms.
Office management:
– Supplies and facilities.
– Office enquires, phone calls and visitors.
– PA support to Directors.
– Environment – cleanliness and order.
Projects:
– Supports project leaders on document control and upload of information to local authority or client/contractor project platforms.
– Printing and binding of documents as required.
– Completion of project administration.
